One system from first call to final payment

The problem

A growing exteriors company ran sales in one spreadsheet, scheduling in another, and estimates in a template that only one person knew how to price. Every job was re-typed at least three times between the first phone call and the final invoice. Nothing talked to anything.

What we built

A single system that follows the job: lead comes in, measurements come back, the estimate prices itself from the company’s own product catalog, and an approved estimate spins up the job, with the pick sheet, checklists, and crew schedule included. Tools and vehicles carry QR labels, so “who has the brake” takes five seconds to answer instead of five phone calls.

The result

The office types each job once. Estimates that took an evening now take minutes on site, and the schedule board replaced the Sunday-night spreadsheet ritual. The system is in daily use across office and crews.
